Team Workspace Workshop
In a typical small workshop, every operator or estimator ends up with their own CutOptim account. Jobs get duplicated, someone edits the wrong version, and a cut plan runs on yesterday’s measurements. Team Workspace addresses this by giving your team one shared project list instead of three private ones.
Team Workspace is a Workshop-tier feature, designed for small workshops and fabrication shops where multiple people need to work on the same jobs without stepping on each other.
Team Workspace requires an active Workshop plan subscription — see current pricing. It is not available on the Free or Pro plans.
What a Shared Workspace Means
A project saved by any member while they are in the organization belongs to the organization rather than to the person who saved it. In practice:
- Everyone sees it. The project appears in every member’s projects panel, not just the one who saved it.
- Everyone can work in it. Any member can open the project, rename it, and add or edit the cuts inside it.
- Progress markers are shared. The per-sheet status — Not started, In progress, Completed — is visible to the whole team. This is the practical point of the whole feature: it is what stops two people cutting the same board twice.
- Deleting stays with the owner. A member can edit a colleague’s project but cannot remove it, so nobody accidentally erases someone else’s job.
Members do not need their own paid plan. Access — and the plan itself, see below — comes through the workspace.
Sharing is not retroactive. Every project saved before the shared workspace shipped stays personal and stays invisible to your colleagues. Nothing anyone saved in the past became visible as a result of this change — if you are wondering whether your old quotes were suddenly exposed to your employees, the answer is no.
Only projects saved from now on, by someone who is in the organization at the time they save, belong to the organization. To bring an older project into the shared list, open it and save it again as a new project.
Spotting a colleague’s project
In the projects panel, a project that belongs to someone else in your workspace carries a 👥 marker next to its name. Hover it and the tooltip reads “Shared with you from your workspace — a colleague owns this project. You can edit it; only the owner can delete it.”
Those projects also have no delete button. The rename (✏) button is still there — a colleague’s project can be renamed and edited, just not removed. Your own projects look exactly as they always did, with both buttons.
There is no live push: changes are saved to the cloud as you work, and a colleague sees them the next time they open or reload the project.
Your Plan Travels With the Seat
A member you add gets the plan the owner is paying for, everywhere the plan is checked — optimisation limits, cloud saving, the Pro and Workshop exports.
- Nothing is required of anyone. No re-inviting, no re-saving, no setting to switch on. Colleagues already in your organization pick it up on their own.
- It only ever lifts. A member who pays for Pro themselves is raised while the seat covers them, never dropped.
- If the owner’s subscription lapses, the seat stops granting anything. Each member falls back to the plan they hold themselves, and its limits.
Member Roles
Team Workspace keeps permissions simple. With a maximum of 3 people, you do not need complex role hierarchies.
| Feature | Type | Description |
|---|---|---|
| Owner | Workshop subscriber | Full control. Adds and removes members, manages billing, opens and edits every project in the workspace, and is the only one who can delete a project. |
| Member | Added user | Creates projects, runs optimisations, and opens, renames and edits every project in the workspace, including its cuts and progress markers. Cannot manage billing, add or remove other members, or delete a project a colleague saved. |
Adding Team Members
Membership is managed from the CutOptim Dashboard, not from inside the app itself.
The person you are adding must already have a CutOptim account. There is no invitation email to accept — you add an existing account by its email address, and it takes effect immediately. If they have not registered yet, you will see “User not found — they must register first”; ask them to create a free account and try again.
- 1
Open the Dashboard
Log in with the owner account and open your CutOptim Dashboard.
- 2
Find the Team management section
Scroll to the section headed Team management. It is only shown on Workshop plan accounts.
- 3
Create the organization, if you have not already
Enter an organization name — your company name is the obvious choice — and click Create organization. You are added as its owner.
- 4
Type your colleague's email address
Under Invite member, type the email address of the CutOptim account you want to add.
- 5
Click Add
You get a confirmation reading Member added! and they appear in the Members list straight away. Nothing lands in their inbox and there is nothing for them to accept.
- 6
They sign in as usual
The next time they sign in they are on the owner's plan, and the workspace's projects are in their projects panel.
The Members heading shows the count as n/3 — owner plus 2 members. When the workspace is full the email box disappears and is replaced by “Max 3 members — limit reached”.
Removing a Member
To revoke a member’s access, go to the Team management section of the Dashboard. Each member other than the owner is listed with a Remove link. Click it and confirm.
The member loses access to the workspace immediately, and the seat stops granting them the owner’s plan — they fall back to their own. Their personal CutOptim account is not deleted.
Work they saved into the workspace stays in the workspace: projects they saved while they were a member belong to the organization, so the remaining members keep seeing them, opening them and editing them. Removing a person does not remove their jobs.
Practical Workshop Setup
Here is a typical workflow for a two-person cutting team plus an estimator:
Estimator (owner) sets up all incoming jobs from the office. They create projects, enter cut lists, assign materials, and run the optimiser to generate the cut plan. Everything is ready before anyone picks up a saw.
Operator 1 and Operator 2 (members) open CutOptim on a tablet at their respective saws. They see the same projects, open the relevant cut plan, and use Progress Tracking to mark each sheet as it is completed. Because the markers are shared, the second operator can see at a glance that a sheet is already done rather than cutting it twice. The estimator can check progress from the office by reloading the cut, without calling across the shop floor. Nothing pushes live — a reload is what fetches the current state.
Because all three people are working from the same project list, there is no need to email PDFs, copy cut lists, or reconcile multiple versions of the same job at the end of the day.
Team Workspace is currently limited to 3 members (owner + 2). If your workshop needs more seats, contact CutOptim support — we would like to hear from you.
